NOTICE REQUESTING PROPOSALS

CAFETORIUM HVAC REPLACEMENT PROJECT

The Leola School District is requesting sealed proposals from qualified contractors for a turnkey HVAC replacement project in the cafetorium.

The contractor shall provide all labor, materials, equipment, permits, and coordination necessary to furnish a complete and operational system.

PROJECT DEADLINE

The project must be substantially complete by August 17, 2026. Contractors shall include a proposed project schedule with their proposal.

SCOPE OF WORK

The project includes, but is not limited to:

• Removal and disposal of existing rooftop units, electric heating equipment, and related components.
• New HVAC equipment utilizing the existing boiler system for heating.
• New hot water heating coils, piping, valves, fittings, and insulation.
• New ductwork and freeze protection dampers as required.
• Integration with existing building controls.
• Electrical work necessary for a complete installation.
• Roofing work, including repair and sealing of roof penetrations and abandoned openings.
• Structural supports, roof curbs, concrete pads, and related modifications as needed.
• Crane services, equipment delivery, startup, testing, balancing, commissioning, and training.

OPTION 1 – FLAT ROOF INSTALLATION

Provide pricing for installation of new HVAC equipment on the building's flat roof areas.

OPTION 2 – GROUND-MOUNTED INSTALLATION

Provide pricing for installation of new ground-mounted HVAC equipment.

BID SUBMISSION AND OPENING

Sealed proposals will be received by the Leola School District until 12:00 p.m. on June 29, 2026, at the Leola School District Business Office, 820 Leola Avenue, Leola, SD 57456, or by mail at P.O. Box 350, Leola, SD 57456. Any proposal submitted by mail must be received by the District no later than 12:00 p.m. on June 29, 2026. Proposals will be publicly opened and read on the 29th.

Interested contractors shall schedule a site visit prior to submitting a proposal. Contractors are responsible for evaluating existing conditions and developing a complete turnkey proposal for both options.

Proposals shall be clearly marked:

"CAFETORIUM HVAC REPLACEMENT PROJECT"

The Leola School District reserves the right to reject any or all proposals, waive informalities, and accept the proposal deemed to be in the best interest of the District.
